This policy covers all data collected by Hreflang Builder and stored on Hreflang Builder’s owned or leased systems and media, regardless of location. It applies to both data collected and held electronically and data that is collected and held as hard copy or paper files. The need to retain certain information may be mandated by federal or local law, federal regulations and legitimate business purposes, as well as the EU General Data Protection Regulation (GDPR).
Hreflang Builder strives to ensure that data is only retained for the period necessary to fulfil the purpose for which it was collected and is fully deleted when no longer required. This policy sets forth Hreflang Builder’s guidelines on data retention and is to be consistently applied throughout the organization.

What We Gather From You
Our site collects information in several ways. When you or your organization signs up with our HREFLang Builder services, you or your company’s authorized representative(s) are required to complete a user rights form to give you login access to the application.
Hreflang Builder only requests your “Contact Information” consisting of your First and Last name and company email address along with the Company billing address. No financial information such as payment details and credit card details or any other personal information is collected or stored in our system. Your payment details are managed directly by Stripe.
Review and Update Information: If you wish to review or update your account details, simply sign in to your account and click “Manage” in the upper right of the main navigation once you log into the application. Then click “Users” and click your name. You may update your information at any time. Should you encounter problems with updating your profile, please send an email to email@example.com, and our Support Team will be glad to assist you.
User Profile: We store information that we collect through login, and changes to your data are maintained in our system.
Your profile consists of stored information that we keep on individual users that details their utilization of the tool and any changes they may make to their company data. Consequently, collected information is tied to the users personally identifiable information to improve the features and functions of the site and for the user. We do not share your profile with other third parties.
Log Files: Like most standard Web site servers we use log files. This includes internet protocol (IP) addresses, browser type, internet service provider (ISP), referring/exit pages, platform type, date/time stamp, and number of clicks to analyze trends, administer the site, track user’s movement in the aggregate, and gather broad demographic information for aggregate use. IP addresses, etc. are not linked to personally identifiable information.
Communications from the Site
Service Announcements: On rare occasions, it is necessary to send out service-related announcements notifying users of system maintenance or other system-wide issues. Generally, users may not opt out of these communications, though they can deactivate their accounts. However, these communications are not promotional in nature.
Customer Service: We communicate with users on a regular basis to provide requested services and in regards to issues relating to their account we reply via email or phone, in accordance with the user’s wishes.
Sharing of Information
Contact Information collected is used only for setting up your access to the service and conveying information about user-accessible reports and accounts.
Shared Data: We do we share your contact information with anyone. The contact information you or your organization has provided will not be made publicly available, nor sold to third parties.
Legal Disclaimer: Though we make every effort to preserve user privacy, we may need to disclose personal information when required by law wherein we have a good-faith belief that such action is necessary to comply with a current judicial proceeding, a court order or legal process served on our Web site.
Service Abuse & Trademark Violations: Hreflang Builder may disclose this contact information in special cases where we have reason to believe that disclosing this information is necessary to identify, contact or bring legal action against someone who may be violating our terms and conditions of use or may be causing injury or interference with our rights, property, our customers or anyone who could be harmed by such activities.
Third-Party Advertisers: Hreflang Builder does not have Third Party advertisers and therefore DOES NOT share, sell, rent or trade Web site usage information about users with any third party.
Data Retention Policy
Hreflang Builder has set the following guidelines for retaining all company and personal data as
• Website visitor data will be retained as long as necessary to provide the service
requested/initiated through the Hreflang Builder website.
• Website URLs and XML sitemaps will be retained based on the project refresh rate and/or the duration of their Hreflang Builder subscription. Once the subscription expires all files are permanently removed from the application.
• Financial information will not be retained longer than is necessary to process consulting or subscription transactions.
• Personal data of subgrantees, subcontractors and vendors will be kept for the duration
of the contract or agreement.
• Employee data will be held for the duration of employment and then two years after
the last day of employment.
• Data associated with employee wages, leave and pension shall be held for the period
of employment plus 5 years.
• Recruitment data, including interview notes of unsuccessful applicants, will be held
for one year after the closing of the position recruitment process.
• Data associated with tax payments (including payroll, corporate and VAT) will be
held as required by state and federal agencies.
• Operational data related to program proposals, reporting and program management
will be held for two years after the termination of any project.
Data Duplication – Hreflang Builder seeks to avoid duplication in data storage whenever possible, though
there may be instances in which for programmatic or other business reasons it is necessary for data to be held in more than one place. This policy applies to all data in Hreflang Builder’s possession, including duplicate copies of data.
Data destruction ensures that Hreflang Builder manages the data it controls and processes it in an efficient and responsible manner. When the retention period for the data as outlined above expires, Hreflang Builder will actively destroy the data covered by this policy. If an individual believes that there exists a legitimate business reason why certain data should not be destroyed at the end of a retention period, he or she should identify this data to
his/her supervisor and provide information as to why the data should not be destroyed. Any exceptions to this data retention policy must be approved by Hreflang Builders’s executive leaders in consultation with legal counsel. In rare circumstances, a litigation hold may be issued by legal counsel prohibiting the destruction of certain documents. A litigation hold remains in effect until released by legal counsel and prohibits the destruction of data subject to the hold.
Our site has security measures in place to protect against the loss, misuse, and alteration of the information under our control. Our user access management system uses an SSL secure server with digital certificates and all personal information is fully encrypted during all transactions.
Please note, however, that no data transmission over the Internet is completely secure. As a result, while we attempt to protect your personal information, we cannot ensure or warrant the security of any information you provide to us and you transmit such information to us at your own risk. Once we receive your transmission we attempt to ensure the security of your personal information on our systems.
Password Protection: You are responsible for maintaining the confidentiality of your password and account and are fully responsible for all activities that occur using your password or account. Please notify us immediately of any unauthorized use of your password or account or any other breach of security. Back Azimuth will not be liable for any loss that you may incur as a result of any third party’s use of your password or account, either with or without your knowledge.
